Exchange files between InCopy and InDesign

hen you work with multiple applications in a single workflow, it is advisable to standardize on a single file format so that you can exchange files between the applications. In a workflow with multiple versions of Adobe InCopy and Adobe InDesign, the Interchange (.incx) format is often the most appropriate format since both InDesign and InCopy can use it. This document explains how to export stories in Interchange (.incx) format from InCopy CS3, InDesign CS3, InDesign CS2, and InCopy CS2 so that content can be exchanged between them.

When opening an .incx file from a CS3 version of InDesign or InCopy in a CS2 version of the application, features that were not supported in the older version of the application will be ignored on conversion to the older format and will not be preserved when the file is resaved from that version.

InDesign and InCopy CS3 also allow you to save your files in InCopy CS format (.incd).

SAVE INDESIGN CS3 CONTENT FOR USE IN INCOPY CS3 OR INCOPY CS2

You can save files in InDesign CS3 that can be opened in InCopy CS3 or InCopy CS2 by using one of the following procedures:

To export stories from InDesign in interchange format as unassigned InCopy content do one of the following:

  1. Select one or more text frames or graphics with the Selection tool.
  2. Choose File > Export.
  3. Give the file a name and location, select InCopy Document form the Format menu (Mac OS) or File Type menu (Windows), and then click Save.
or
  1. Select one or more text frames or graphics with the Selection tool.
  2. Choose Edit > InCopy > Export.
  3. Select the appropriate export option.
  4. Give the file a name and location, select InCopy Document form the Format menu (Mac OS) or File Type menu (Windows), and then click Save.

Note: The following selections cannot be exported to InCopy format (CS2 and CS3):

  • Direct selection of a graphic or graphics within a graphic frame

  • Selecting a text frame or text frames that have already been exported to InCopy format (a selection that combines previously exported and never exported text frames can be exported to InCopy format)


  • SAVE INDESIGN CS3 CONTENT FOR USE IN INDESIGN CS2 (SAVING BACK)

    To save files from InDesign CS3 for use in InDesign CS2, export the file to interchange format.
    1. Choose File > Export.
    2. Give the file a name and location, select InDesign Interchange from the Format menu (Mac OS) or File Type menu (Windows), and then click Save.

    Note: It is recommended that you install the most current InDesign CS2 update before attempting to open InDesign CS3 interchange files for greatest compatibility.

    SAVE INCOPY CS3 CONTENT FOR USE IN INDESIGN CS2 OR INDESIGN CS3

    In order to open InCopy content in InDesign CS2, you must install the InCopy plug-ins. These plug-ins can be found on the InDesign CS2 installation disk in the Technical Information folder. For more information about these plug-ins, see "InCopy CS2 Export plug-ins or Notes plug-ins missing from InDesign CS2 " (TechNote 332288). These plug-ins are automatically installed with InDesign CS3.


    To save files from InCopy CS3 so that they can be used in InDesign CS2 or InDesign CS3 save the file in InCopy CS3 format.
    1. Choose File > Save Content As.
    2. Give the file a name and location, select InCopy Document from the Format menu (Mac OS) or File Type menu (Windows), and then click Save.
    3. From within an InDesign CS2 or CS3 document, choose File > Place.
    4. Browse to the location to which you saved your InCopy file and select the file.
    5. Click Open.
    6. Click on a page in your document to place the InCopy content.

    The InCopy content is placed in InDesign as Unassigned InCopy Content.

    SAVE INCOPY CS3 CONTENT FOR USE IN INCOPY CS2 (SAVING BACK)

    To save files from InDesign CS3 for use in InDesign CS2, export the file to interchange format.
    1. Choose File > Save Content or Save Content As.
    2. Give the file a name and location, select InCopy Document from the Format menu (Mac OS) or File Type menu (Windows), and then click Save.

    WORKING WITH INCOPY CS AND INDESIGN CS

    InDesign CS3 files saved in interchange format cannot be opened in InDesign CS.

    InDesign CS3 content can be saved in InCopy CS format for use in InCopy CS. These files can also be placed into an InDesign CS document as long as the InCopy workflow plug-ins are properly installed.

    InCopy CS3 content can also be saved in InCopy CS. InCopy CS files saved from InCopy CS3 can be opened in InCopy CS or placed into InDesign CS.

    Note: When you save back to a previous version format, features that did not exist in the earlier version will be ignored and will not be preserved when the document is resaved from the older version.
